Independent Study and Special Topics Policy

Overview

Cummings Graduate Institute (CGI) academic programs offer Independent Study (IS) and Speciality Studies credits to allow individual students to work closely with one or more full-time faculty members to go deeper in researching specialty areas that are not covered in more detail in required or elective courses. The purpose of the Special Topics and IS policy is to outline requirements for students, faculty, and staff to ensure a successful and structured learning experience.

In the event that five (5) or more students are interested in researching a specialty area, a Special Topics course will be developed by a faculty member and the Instructional Design Team with input from the interested students to meet the interest of those students and offered within two (2) terms of the development of the course. While the course number is the same, credits from Special Topics courses will not count as Independent Study credits.

Responsibility

Student Responsibility

  • Students must have completed a minimum of twelve (12) hours in their program of study before registering for IS, and these 12 credits must include any program prerequisites. Other prerequisites will be determined by the faculty member with whom the student would like to do IS work.
  • Students may utilize IS to research evidence-based interventions in specialty areas, such as oncology, OB/GYN, pediatrics, intensive outpatient substance abuse treatment, respiratory therapy, etc. or to work towards their CP literature review.
    • Students may utilize IS to fulfill their elective credit requirements towards their program of study.
    • There is no limit to the number of Independent Study credits that students may take towards their elective credits requirements.
  • In certain circumstances, and at the discretion of the Academic Advisor, an IS may be approved as a substitute or in exchange for required core courses.
    • Students may take up to six (6) credit hours of IS and Specialty Studies for credit replacement of core course requirements if they have sufficient subject matter expertise as determined by the Advisor and Program Director.
    • In these cases, the student must provide an Independent Study Proposal Form, signed by the Faculty Member, Academic Advisor, and Registrar no later than week four (4) of the academic term prior to the term in which the student wishes to take the IS.

Faculty Responsibilities

  • When a faculty member is contacted by a student who wishes to take an IS course with them, the faculty member must ensure that they will be able to contractually work with the student and CGI in the term requested by the student for the course.
  • The faculty member must review and approve the Independent Study Proposal Form sent by the student through DocuSign.
  • If the student has not outlined a structure for the IS course that the faculty member deems acceptable, the faculty member is responsible for working with the student to improve the plan, and if the student does not demonstrate ability to conceptualize the work they would like to complete in the course, the faculty member is responsible for communicating this to the student, and for declining to approve the IS proposal form.
  • If the student demonstrates a solid outline for the work intended in the IS proposal form, the faculty member is responsible for approving the IS proposal form via Docusign, and for working with the IDT team to create appropriate assignment folders in the course to ensure that the course structure will assist the student in meeting goals for work to be completed as outlined in the IS proposal form.
  • Once approved, and once the requesting student has registered for the IS course, it is the faculty member’s explicit responsibility to monitor the student’s progress in the IS course, including, but not limited to scheduling and holding meetings regularly throughout the term with the student, grading student work and providing feedback via the LMS, communicating any progress concerns with the student, advisor, and/or Retention team, and other duties associated with instruction as outlined in the faculty handbook.

Administrative Staff Responsibilities

Academic Advisor:

  • Affirm or deny requests for IS courses, and affirm or deny whether IS courses may be approved as a substitute or in exchange for required core courses.
  • Communicate with the student re: approved or denied requests for IS courses to be approved as a substitute or in exchange for required core courses.
  • Sign off on the IS proposal form as needed.

Registrar:

  • Receive notification of a student’s IS proposal form
  • Contact the student to notify them regarding registration for the IS course.
  • Note IS in the student’s Degree Completion Worksheet and POS
  • Verify that the student is within the IS six (6) credit maximum limit within their POS.
  • Sign off on the IS proposal form.
  • The Registrar will ensure that all documentation has been captured in the student file and the POS, and will communicate concerns with the student, faculty member, and/or Advisor as needed.

Policy Procedure

Students who wish to take an IS course must follow the steps and timeframes below:

  1. In weeks 1-3 of the term prior to the term in which they hope to take the IS course, students must connect with the faculty member with whom they intend to work in the IS course and verify that the faculty member is available to work with them in the intended term. The form needs to be reviewed and signed by all parties prior to the end of the 4th week in the term prior to the term the IS will be taken.
  2. Students must complete the IS Proposal Form, via DocuSign, located on the Student Forms page on CGI’s website. .
  3. The form will then go to the faculty member for review and approval.
  4. Then the form will go to the Academic Advisor for review and approval.
  5. Finally, the form will go to the Registrar for approval via DocuSign.
  6. The Registrar will notify the student via email of the final decision of the IS request along with a copy of the form.
  7. If the IS is approved, the Registrar will enroll the student into the IS course for the term if the course is approved. The student will be invoiced for the course, after the terms registration window has been closed. If the IS is denied, the Registrar will notify the student via email.
  8. The Registrar will file the IS form in the student’s Populi and paper record.
