Incomplete Grade Policy

 

Policy Overview

In the event that an unforeseen circumstance threatens a student’s ability to complete a course by the course end date, a student may request a grade of incomplete (I).

To request an incomplete grade, the student needs to complete an Incomplete Grade Request Form. The form must be approved by an Academic Advisor and the Faculty Member for all courses.

For all courses, students may be eligible for an incomplete grade if the following apply.

  • 75% of the assignments have been successfully completed
  • The student is earning a passing grade of 80% (B) or higher in the course, in accordance with Cummings Graduate Institute Grading Policies.

If the student is enrolled in the Culminating Project series (DBH 9101, DBH 9102, DBH 9103), and they need to request an Incomplete, they may be subject to the Culminating Project Continuation Fee. For more information on the Culminating Project Continuation Fee, please refer to the Tuition and Fee page on CGI’s website.

Students are required to adhere to institutional policies during the Incomplete Grade Request extension period. These include but are not limited to the following:

  • Students are expected to continue posting attendance throughout the Incomplete Grade Request extension period.
  • Students may not be on a Leave of Absence (LOA) during the Incomplete Grade Request extension period.
  • Students must resolve the incomplete grade before enrolling in additional coursework in the program, with the exception of Culminating Project series courses where a student has been assessed a Culminating Project Continuation Fee.
  • Students must complete the coursework for the Incomplete Grade Request on or before the deadline determined by the course faculty. Incomplete grade deadline(s) may not extend longer than six (6) weeks without prior Director or Program Chair approval.
  • If resolution of the incomplete grade in a Culminating Project (A, B, C) course extends longer than 7 weeks post the last day of the course, the student will be assessed an additional Culminating Project Continuation Fee.
  • Students who fail to successfully complete all assignments within the Incomplete Grade Request deadline will receive a failing grade and will have to retake the course. This may result in the student falling out of Satisfactory Academic Progress (SAP).
  • An incomplete grade is not considered passing for the purpose of Cummings Graduate Institute SAP.

Policy Responsibility

Staff Responsibility

It is the Registrar’s responsibility to review, sign, and file the Incomplete Grade Request Form and accompanying Grade Replacement Form. Once the Incomplete is resolved or not resolved, the Registrar will post the final grade to the student’s record.

Faculty Responsibility

It is the Faculty member's responsibility to review the Incomplete Grade Request Form and approve or deny based on the institutional eligibility criteria. Additionally, once the final grade is determined before or by the deadline stated in the Incomplete Grade Request, the Faculty member must submit a Grade Replacement Form to the Registrar, in order to finalize the student’s grade for the course.

Student Responsibility

It is the responsibility of the student to submit the Incomplete Grade Request Form via DocuSign within the timeframe outlined in the Incomplete Grade Request Policy. It is also the student’s responsibility to complete all outstanding work by the outlined due date.

Policy Procedure

  1. The student needs to submit the Incomplete Grade Request Form when they determine it is time to request an Incomplete. 
  2. The form is then sent to the students Faculty Member or Culminating Project Advisor for review, signature, and approval. 
  3. The form then will go to the Registrar for review, signature, and approval. 
  4. The Registrar will change the students grade in Populi to I for “Incomplete”. 
  5. Once the student has completed the Incomplete, the Faculty Member will need to notify the Registrar using the Grade Replacement Form. 
  6. Once the Grade Replacement Form has been received, the Registrar will update the grade in Populi
